Proximus is a major Belgian telecommunications company. As one of the country's largest providers, Microsoft 365 plays a crucial role in its organization.
The challenge | First aid for Microsoft 365
Creating documents, organizing meetings flexibly, and collaborating efficiently: these are all things Proximus employees rely on the Office 365 apps for. But Proximus wouldn't be Proximus if it didn't go looking for even better. What if Proximus people could (pro)actively make use of the latest developments and new applications? They found the answer to that question at Xylos, with our personalized Digital Coaching service.
Proximus Talent & Learning Manager Magali Vekemans, together with HR Assistant Ann Rongy and the Digital Coaches, helped bring about a story that grew into a great success.
The process | Dr Digitals to the rescue
At Proximus, the Digital Coaches were nicknamed 'Dr Digitals'. After all, doctors are the helpful experts par excellence. Thanks to their know-how of Microsoft 365 applications, the doctors on call don't just teach Proximus employees useful tools — they also teach them how to use them efficiently through workshops, inspiration sessions, coaching, and an extensive training offering provided by Proximus. To complete the circle, Proximus also chose OASE, Xylos's always-on digital adoption platform, which contains more than 3,000 videos as well as animations, tips, and webinars on Microsoft 365. A remedy that really works.
With a team of five permanent trainers, the Dr Digitals respond to the needs of Proximus employees. They make sure everyone gets the chance to sharpen their skills with Microsoft 365 applications and get personal advice. Thanks to the accessibility and availability of these Dr Digitals (by email, via Teams, by phone, …), the threshold is low for people to ask questions and learn new things, regardless of the user's knowledge level.
Every day, the Digital Coaches organize two two-hour workshops or inspiration sessions, one in French and one in Dutch, so everyone can learn in their own language. The topic of the sessions responds to what's happening within the organization: working more efficiently with your mailbox, using Windows 10 more ergonomically, which app to use when for calendar and task management, and so on.
The result | Fast and efficient collaboration
The Xylos Digital Coaches played an important role in the user adoption process for Teams at Proximus. "We opted for a phased rollout of Teams. In collaboration with our internal IT department, the Dr Digitals organized tailored training at every stage, matched to our organization and the needs of our people," says Magali Vekemans.
"That's the beauty of the Digital Coaching service. Xylos's coaches integrate fully into Proximus, working within our environment with their own personal Proximus account. That means every session is fully tailored to our systems and addresses the issues our employees run into. The coaches speak the same language as our people," the Talent & Learning Manager continues.
Besides the regular workshops and inspiration sessions, employees can contact the Dr Digitals for individual coaching and advice. "We noticed a huge increase in the need for coaching after working from home so much in recent years," says Magali. "The Dr Digitals were there for our people, and that also showed in the evaluations. Being able to get a fast, targeted answer to your specific questions delivers huge time savings and extra comfort. The Dr Digitals take into account who you are, what you do, and what you need to personally enrich yourself with tips and tricks. Colleagues who realize that a clear explanation of an Excel function like VLOOKUP or the new XLOOKUP can save them several hours of work a week — that's worth its weight in gold!"
Team leaders also quickly discovered the added value of the Digital Coaches. They invited the Dr Digitals into their team meetings to give training fully tailored to their work environment. Setting up a new team in Teams? No problem! Just brainstorm with the Dr Digital about the structure and etiquette of communication. Then schedule training for your team, and you'll have a high-performing collaboration environment where everyone feels comfortable.
